How orders are created

The short version

  1. The recipient opens your link and picks products.

  2. They enter their contact details.

  3. Giftform creates the order in Shopify with everything discounted to zero and sends them straight to a Shopify checkout.

  4. They enter their shipping address and confirm.

The order then appears in your Shopify Orders list at a $0 total.

What the recipient sees

Choosing products

The first screen is headed Choose Your Products. A search box (Search products...) filters the list. Each product tile has Add to Cart, which flashes Added!. Product images open a full-screen gallery.

Sold-out products show Out of Stock, and low stock shows Only {count} left with the real number. The selection panel is titled Your Selection and is reachable from View Cart in the bar at the bottom.

If you set limits, the recipient sees them spelled out above the products, for example Select up to {count} items, up to {value} total, and gets a message if they try to exceed one: You can select up to {count} items or Total value cannot exceed {value}.

Entering details

The second screen is headed Your Details, with ← Back to products to change the selection.

  • Email is always required.

  • Influencer forms ask for Instagram handle and TikTok handle (placeholder @username) — the @ is optional, because Giftform strips it.

  • Company forms ask for Company name and Website instead.

  • If you enabled consent, the checkbox uses your own text, or I consent to the use of my content when you leave the text blank.

  • Your Extra text appears at the bottom of this screen.

The submit button reads Continue to shipping, with the note You'll enter your shipping details on the next page.

Finishing on Shopify

Submitting sends the recipient to a Shopify checkout for their order. They enter the shipping address, pick a shipping method, and confirm. The products are already 100% off and shipping is free, so the total is zero and no payment is taken.

Giftform does not email the recipient an invoice — they go straight to the checkout, so they need to finish in that session.

The free-shipping discount Giftform creates is valid for one hour. If the recipient abandons the checkout and comes back much later, shipping may no longer be discounted. Ask them to submit the form again rather than reusing an old checkout.

Languages

The form translates itself using the recipient's browser language — there is no setting to configure. Supported languages are English, Spanish, French, German, Italian, Portuguese (Brazil), Dutch, Polish, Swedish, Danish, Norwegian, Finnish, Japanese, Korean, Simplified Chinese, and Turkish. Anything else falls back to English.

Add ?lang=fr — or any other supported code — to the end of the form link to force a language. This is useful when you want to preview one.

Your own Extra text and consent text are shown exactly as you wrote them and are not translated.

What Giftform puts in your Shopify store

  • A tag on the order: Influencer Gift for influencer forms, Company Gift for company forms.

  • A 100% discount on every line, titled Gifting with the description Free gift.

  • An automatic free-shipping discount whose name starts with GF followed by ten characters, valid for one hour from the moment the form was submitted.

  • The recipient's email address, which is what links the order to a Shopify customer.

The selected products, handles, company details, and consent answer are kept in Giftform, not copied onto the Shopify order.

Who gets notified

You get one email per completed order if you filled in Notification email under Settings then Order notifications. It names the form and the recipient and links to the order. If that field is blank, no email is sent.

Shopify's own order notifications behave exactly as they do for any other order in your store.

Why a submission can be refused

  • Free-plan order cap reached — Order limit reached. Please contact the sender.

  • The handle is not on the form's list — You are not authorized to submit this form.

  • That handle already ordered on this form — You have already placed an order.

  • The form allows one order in total and has had it — This form has already been submitted.

  • A company form with an allowance above one has used it up — This form is no longer accepting orders.

  • Consent is required and was not given — You must accept the content usage consent to submit this form.

  • Something in the cart sold out between browsing and submitting — Some items in your cart just sold out. Update your selection and try again. Giftform checks live Shopify stock immediately before creating the order, so a sold-out item is caught here rather than failing silently at checkout; the recipient can adjust the cart and submit again.

  • Shopify rejected the order — Failed to create order. Please try again.

A form that has used up its order allowance stops accepting visitors entirely and shows Form closed with This form is no longer accepting orders. Please contact the sender. A form you deleted, or one on a deactivated store, shows a not-found page rather than revealing that the link ever existed.

After the order exists

Giftform keeps each order's fulfilment status and tracking numbers in step with Shopify, so you can work in either place.

When an order ships in more than one parcel, Giftform shows the least advanced status of the group — a cancelled parcel is never hidden behind a delivered one.

Cancelling an order

Cancel from your Shopify admin.

  • If the recipient never finished checkout, delete the draft order in Shopify. The checkout link stops working.

  • If the recipient finished checkout, cancel the order in Shopify. Nothing was charged, so there is no refund to issue; restock the items if you want them back in inventory.
